How to join or combine multiple Word documents into one

When working with text files, it is common to run into the cumbersome situation of having to combine Word documents into one.

The reasons why we would need to do it are varied, and range from accidentally creating two copies of a file and adding different information to each one. For example, you may write a personal reference in one document and the birth certificate in the other.

Until someone else passed us their part of the document and they must be joined. In all cases, it would not be a big problem to do it manually, if the data is few. It is important that these documents are organized when you want to join them.

But when the text is long, we need to simplify the task of combining Word documents, not only to save time, but it is really a very tedious task.

In addition, it could lead to mistakes, leave repeated data or even accidentally get rid of very important parts, which would change the meaning of the text.

For this, Word has included a function that facilitates the union of the documents in question. Thus, turning this big problem into just a small inconvenience that can be solved automatically and quickly.

The best thing about this inclusion is that you can work with several documents simultaneously to combine them into one, you should not limit yourself to just a couple. As for the steps to follow, they are simple, and we present them below.

Within Word, we will locate the “Insert” tab that is in the top menu, it is usually the third option.

Next, we locate the “Object” option, this is marked with an icon that presents a plus symbol (+) on an image.

This section has a drop-down menu that is activated by selecting with the cursor on an arrow pointing down. Within the section in question, we will have the “File text” option, we will choose to click on that button once.

Consequently, an insertion window will pop up, in which we must look for the folder where the files we want to join are located.

Finally, we choose “Insert” in the lower right, so that the changes are made and start the joining process.

Extra data you should know to join several Word documents

As an extra, here we bring some tricks and recommendations to make the joining process that we want to develop as easy as possible.

It should be noted that the method presented above works for both Word 2007 and Word 2010, it changes the layout of the menus a little, but nothing that prevents it from being done.

Also, it is important to note that the formats will not be preserved, so even though merging Word documents is done automatically.

It is always advisable to thoroughly review the formats of the final text, so that, if necessary, it can be written manually. That is, referring to the lyrics, headlines, etc.

On the other hand, when selecting the files that you want to mix, a useful tool to do it efficiently is to use the multiple selection.

The latter is achieved by holding down the “Ctrl” or control key, while clicking on the documents with the cursor.

Another recommendation that should be kept in mind is that when uploading the texts, those that are placed in the upper fraction will be joined first. Note that you can also copy the styles or formatting from one Word document to another.

Therefore, always try to order and number the target documents correctly in case you want to ensure a specific sequence in the resulting text file.
