Outlook Groups: what are they, what are they for and how to use them

The Outlook email service is one of the oldest along with Yahoo! of the market, although that was not the first name with which it hit the market. If we use our Outlook address (@outlook, @hotmail, @live or @msn) as part of our work or studies or as our main communication tool, we must know all the functions it offers us, and that there are many , to get the most out of it. One of the most useful and little-known features of Outlook is groups.

What are Outlook groups

Outlook, like any other email platform, allows us to add contacts to the calendar. The groups in Outlook are like mini contact agendas, that is, groups of contacts that we can create to always have at hand all the emails that are sent to the same people, being extremely useful both in the workplace and in studies and in family life.

Microsoft does not disclose the maximum number of members that can be part of a group, so initially there is no limit. Of course, if you plan to use this function to send newsletters, you should know that there are better options on the market than this, much more comfortable options that allow us to exhaustively monitor shipments and their receipt.

What can I do with the groups?

If we regularly share images or information with the same members of our family, with colleagues at work or studies, the best thing we can do is create a group. When we create an Outlook group, we are grouping all the contacts in one place, which allows us to share information directly to the group instead of adding all the members that compose it one by one, which will allow us to avoid forgetting to share information with any of these.

Outlook groups are like a distribution list or a newsletter to which all the members that form it are signed up. If one of the members wants to leave this group, she cannot do it automatically, but must contact the user who has included her to remove her from the group. It is likely that Microsoft will include a feature in the future that allows users to unsubscribe by clicking a link, but this option is not currently available.

Get the most out of Outlook groups

Microsoft is aware of the importance of groups and offers us different functions to get the most out of them.

To create an Outlook group, the first thing we must do is access the Contacts section from the Outlook panel, this is shown on the right side of the interface. Next, click on the down arrow to the right of New contact to select New group.

Next, we must write the name of the group and, in the Members section, select all the contacts from the agenda that we want to include in the group.

Once we have created the group, if we need to add members or remove any, from the main page of the group, click on Members, then on Manage members.

Send emails to the group

At the top of this panel, the Send email option is shown, an option that we can use to send an email to all members through the group email address. That is, when we create a group, it is not necessary to select the group to send an email, we just have to enter the email address that has been generated for that group.

Access all group emails

If we want to access all the emails that we have sent or received from the members of this group, we can do it from the Email tab. We can also access from the main page of Outlook, if we have established the group that we have created as favorites.
