Create signatures in emails: this is how you do it on iPhone, iPad and Mac

An e-mail signature is a nice conclusion to your sent e-mails. But how do email signatures work on iPhone, iPad and Mac? How do you make such a signature and how do you use it? You can read it in this tip.

“Sent from my iPhone”: everyone knows this well-known closing email. You will never have to close an email on your iPhone, iPad or Mac yourself again, because with a pre-programmed signature it will be filled in automatically. What is an email signature on your iPhone, iPad and Mac?

You usually close emails with your own name, job title and closing words such as ‘Best regards’ or ‘Greetings’. This closing is also known as a signature in e-mail. On the iPhone, iPad and Mac you can create such a signature yourself, so that you do not have to type it manually every time. On the iPhone and iPad, Apple has already set a default signature for you that you will no doubt be familiar with: “Sent from my iPhone/iPad”. Fortunately, you can adjust this text yourself, so that it is a bit more personal.

How can I set up an email signature on iPhone and iPad?

Setting up an email signature on the iPhone and iPad is very easy. Here’s how it works in the default Mail app:

  1. Open the Settings app.
  2. Tap Mail.
  3. Scroll down until you reach the Write email heading. Tap Signature here.
  4. You can now choose whether you want one signature for all your email accounts or whether you prefer to set this up per account. Select the desired option.
  5. Now adjust the signature to your liking. If you want words in bold, italics or underlined, select the word you want to change and choose the arrow in the menu, followed by BiYOU.

Unfortunately, you can’t use multiple signatures for a single email account on the iPhone and iPad. So choose your signature well.

Set up email signature on the Apple Watch

The Apple Watch also has its own e-mail signature, in case you send an e-mail from your Apple Watch. If you want to adjust this, do the following:

  1. On your iPhone, go to the Watch app.
  2. In the My Watch tab, choose Mail.
  3. Now tap on Signature and customize it, the same way as on the iPhone and iPad.

How do I set up an email signature on Mac?

On the Mac, you can create and exchange multiple signatures by email, even if you only use one email account. That is how it works:

  1. Open the Mail app and in the top menu bar, click Mail > Preferences.
  2. Now click on Signatures.
  3. Select an email account for which you want to create the signature. You always have to select an account first to use a signature.
  4. Now click on the plus sign and name the signature in the middle column. In the left column you create your own signature. With the key combination CMD + T you can change the layout (for example, bold).
  5. If you have multiple signatures for an account, you can choose which signature is used by default for the relevant account.

Add an image or logo to your email signature

If you want to include an image or logo in your signature, you can do that too. It looks just a little more professional if you use a photo of yourself or the logo of your company. The easiest way to do this is in the Mail app on the Mac: open an existing signature, add an extra blank line at the beginning, and paste the image you want. For example, you can get the logo from your company’s website.

On the iPhone and iPad, it has become a bit more difficult since iOS 9.3 to just add a photo to an existing email signature. The easiest is to use a signature generator (like this one). You then simply use a picture, which you paste as a signature at the bottom of your e-mail messages. You must first send this image to yourself in an email message. You can then copy and paste the image into the signature via Settings > Mail > Signature, as explained above.

If you want to make it extra beautiful, you can opt for an HTML e-mail signature, but they are a bit more complicated to make. You can find instructions for this by searching in Google.

How can I use an email signature?

On the iPhone and iPad, an email signature is selected by default when composing a new email or replying to it. The signature is neatly filled in at the bottom, so that you only have to type the email yourself.

On the Mac, you can choose which signature is used when composing an email. In the message header, where you choose the subject and the recipient, you will also see a Signature heading. Click on it to choose a signature that is assigned to the e-mail account from which you are sending the e-mail. If you do not want to use a signature, choose the None option here. If you still want to change the signature, you can do so from here by choosing Edit signatures.
